Importing & Inviting Local Businesses

Synchronisation with Solomon’s CRM for BID Levy Payers

Solomon is typically used by Business Improvement Districts (BIDs) to manage their relationship with levy payers (local businesses).

Loqiva offers Solomon customers the ability to synch their business data with their digital town hub.

Setting This Up

  • Give permission for Solomon to provide the API key to Loqiva for your Solomon CRM.
  • A ‘Loqiva Enabled?’ column will be shown in Solomon which can be ticked for each business.
  • In Solomon, select the businesses you would like to be imported in to Loqiva.

Configuring Businesses Correctly

  • Businesses need to have the ‘Name’, ‘Liable Party Name’, ‘Address’, ‘Postcode’, ‘Primary Contact’ and ‘Voting Member’ fields correctly filled in.
  • If ‘Voting Member’ is ticked (indicating the business is a BID Member) then the business will be invited to join and will be given free access. If it’s left unticked, then the business will be invited to join with a monthly subscription fee.
  • Loqiva generates logins using the Primary Contact’s email address. The Primary Contact’s email address needs to be unique for each business.

Doing A Manual Import

Go to Settings > Subscription Model

  • Select the right options for Standard Monthly Subscription (online business sign-up) and Solomon BID Subscription (inviting member business by email to join with free or paid subscriptions).
  • When you are ready, click on ‘Sync Manually’.
  • Loqiva will connect to Solomon and will begin to pull the latest records. Once complete, it will display a message with the results of the synch.
  • If you would like to see more detail about the latest synch, it’s possible to view a log. This provides further detail as to why some businesses may not have been successfully imported.

Sending Email Invites To Businesses

  • Once the manual import has been completed, new businesses can be sent an invitation email. The email is personalised for each business and provides a unique link to sign-up to the hub with pre-filled sign-up information. Select the right option and click ‘Send Email’.
  • If businesses don’t sign-up to the hub the first time they receive an invite, they can be sent reminders. Select the reminder option and click ‘Send Email’. All unsigned accounts will be sent a reminder email.

Automating The Synch Between Loqiva and Solomon

  • Loqiva can automate the synch process so the host organisation can continue to use Solomon as their main point of reference to manage local business membership.
  • Once a week, Loqiva can check the Solomon for new and changed records, and will send out the appropriate emails to local businesses. (See below for ‘changed records’).

Changes in BID Member Status

  • If a business on Loqiva changes from a non-member to a BID member or, conversely, from a BID member to a non-member, then Loqiva has a process for this.
  • The field in Solomon which drives this is ‘Voting Member’.
  • When this field is ticked or unticked then an email is sent to the business letting them know about a ‘change of status’ in their membership of the platform.
  • BID members transitioning to non-members are given one month’s notice to add their credit card details to the Account section on their business dashboard.
  • Non-members transitioning to BID members are notified that their free membership will begin at the end of their latest paid month.

Tips & Tricks

  • Sometimes BID representatives need to meet a business to help them to sign-up in person. If a business can’t find their email invite, then their unique link can be found by an admin user in Users > Business. Go to the business and look for the ‘script’ icon. Click on this and the link will be copied to your computer’s clipboard. Use ‘paste’ (Ctrl+V) to paste the link to a browser to bring up their sign-up page.
