Adding a single event

Go to Events and click on the ‘Add Event’ button.

A draft event and you need to fill in the form with :

  • Event Title
  • Description (50 to 250 word description advised)
  • Venue Name (use the Google search)
  • Venue Address (this will be filled in automatically by Google when the Venue is selected)
  • Event Type (select from the drop-down)
  • Image (200-400k file size advised. The image will be resized automatically)
  • Start Date / Time
  • End Date / Time
  • Repeat (tickbox)
  • More Info (add URL for further information or booking tickets)

Tips For Creating Events

  • The Description field allows you to format the text with bold, italic fonts, bullets, quotes and links. Open the hub smartphone app and check you are happy with the layout of the text when it goes live.
  • Choose an image that really sells your event. Photos tend to work best as images with text (e.g. poster artwork) can lose words when cropped.

Adding repeat events

At the end of the event form, you’ll see:

  • Repeat (tick box)

When you tick the box, additional options will be provided:

  • Repeat (Daily, Weekly, Monthly)
  • Occurrences (Add up to 12 events in addition to the original events)

How repeat events are created

  • Daily – repeat events will be added to each subsequent days after the Start Date.
  • Weekly – the Start Date determines the day of the week used and repeat events will be created for the same weekday each week thereafter, e.g. every Wednesday.
  • Monthly – the Start Date determines the date used, e.g. the 15th of every month.

When to use repeat events

Examples:

  • A dance class that takes place on Wednesday evening at 7pm each week should use the weekly repeat option.
  • A 3 day festival that starts at 9am and finishes at 5pm should use a repeat event instead of adding a single event starting on Day 1 at 9am and finishing at 5pm on Day 3. If the user takes the latter option, the start event date (Day 1) will display erroneously on the app on Days 2  and 3.

Tips:

  • Repeat events use all the same information (image, description, time etc) as the initial event. If you want to change any of this information, revert to adding single events.
  • The number of occurrences is limited to 12 because this allows for 3 months of weekly events and 1 year of monthly events. This helps to keep the system accurate. Set a reminder in your own personal diary to add more events when the live events run out.

For Admins
